Here in Wisconsin, we know full well that it is a rarity for us Wisconsinites to go through an entire winter without Mother Nature reminding us how powerful she can be, by dumping us with a large amount of snow over a short amount of time. We can't change the forces of nature. The only thing we can do is fully expect that it is going to snow, prepare for it by having gas for the snow blower, wood for the fire, and food in the freezer. That way, whenever the snow does come, we are prepared and ready -- we are being proactive.
Similarly, when we know that there are people we work with who, based on their personalities, have different communication styles and preferences, we can work to be proactive in anticipating how they will react to what we have to communicate to them. In being proactive in our approach, we can make our communication much more efficient and productive.
For example, if someone is very direct and task-oriented, it would be best to come prepared ready to talk business, instead of engaging in a lot of small talk. He or she doesn't want to take time out of their busy schedule to "chit chat." They want to know what you need, and what they need to do about it, and that's about it.
Conversely, if someone loves to talk about his or her personal life, the business is probably secondary, and ninety percent of the conversation will revolve around his or her personal life, while only about ten percent will revolve around the business at hand. It's likely the business discussion will come toward the end of the conversation...Almost like an afterthought.
In knowing your co-workers, you will know their communication styles and preferences. You can't change people's nature, but you can sure be proactive in how you deal with the nature of people, and establish meaningful and productive work relationships with anyone.
